Look, we get it - nobody really wants to read through pages of legal stuff. But your privacy matters to us at Obsidrix Citadel, so we're gonna break this down as straight as possible.
When you train with us, sign up for programs, or just browse our site, we collect some info. This policy explains what we grab, why we need it, and what we do with it. We're not out here selling your data to random companies - that's not how we roll.
By using our facility, website, or services, you're agreeing to this policy. If something doesn't sit right with you, let's talk about it.
We collect different types of info depending on how you interact with us:
The basics - name, email, phone number, mailing address. We need this stuff to contact you about your membership, class schedules, and important updates. Can't run a gym without knowing who's who.
When you fill out our intake forms, we ask about medical history, injuries, fitness goals, and physical limitations. This isn't us being nosy - it's so our coaches can keep you safe and design programs that actually work for your body. We take this stuff seriously because training hard without the right info can lead to problems.
Credit card details, billing addresses, transaction history. We need this to process memberships, personal training packages, and any gear you buy from us. Your payment data goes through secure processors - we don't store full card numbers on our end.
Check-in times, classes you attend, workout logs if you use our app. This helps us see what's popular, when the gym's busiest, and track your progress over time.
IP addresses, browser types, device info when you visit our website. Standard internet stuff that helps us fix technical issues and make the site work better.
Here's the deal with what we do with your info:
We take data security seriously because breaches suck for everyone. Here's what we do to keep your info locked down:
Our systems use encryption for sensitive data transmission. Physical records are kept in secured areas with limited staff access. We regularly update our software and run security checks. Employee access to personal data is restricted based on job requirements - not everyone here can see everything.
That said, no system is 100% bulletproof. We do our best, but if you notice anything sketchy with your account, let us know immediately.
Under Canadian privacy laws, you've got some solid rights when it comes to your data:
You can request a copy of all the personal info we have on you. We'll provide it within a reasonable timeframe, usually within 30 days.
If something's wrong in our records - old phone number, outdated medical info - let us know and we'll fix it.
Want us to wipe your info? We can do that, though we might need to keep some stuff for legal or accounting reasons. If you've got an active membership, we'll need to sort that out first.
Don't wanna receive promotional emails? Unsubscribe link's at the bottom of every marketing message we send. You'll still get essential stuff like billing notices and schedule changes.
You can request your data in a format that's easy to transfer to another gym or service if you're moving on.
To exercise any of these rights, contact us using the info at the bottom of this page. We'll verify your identity first - can't just hand out data to anyone who asks.
We don't keep your info forever - that'd be weird and unnecessary. Here's our general approach:
Active Members: We keep your full records as long as you're training with us. Makes sense, right?
Former Members: After you cancel, we retain basic info (name, membership history, financial records) for 7 years. That's mainly for tax and legal requirements. Health data and detailed training logs get deleted after 2 years unless you ask us to keep them longer.
Marketing Lists: If you've only signed up for our newsletter without becoming a member, we'll keep that email address until you unsubscribe or after 3 years of inactivity.
Some data might stick around in backup systems for a bit longer, but it's not actively accessible.
Our programs are designed for adults 18 and older. We don't knowingly collect information from kids under 18 without parental consent.
If we run youth programs or camps in the future, we'll require parental consent forms and handle that data with extra care. Parents would have full access to their kid's information and could request deletion at any time.
If you're a parent and think we've accidentally collected info about your child, contact us immediately and we'll delete it.
Privacy laws change, our business evolves, and sometimes we need to update this policy. When we make significant changes, we'll notify you via email and post the updated version on our website with a new "Last Updated" date.
We're not gonna pull any sneaky stuff - if something major changes, you'll know about it. If you don't like the new terms, you can cancel your membership without penalty within 30 days of the update.
Minor tweaks for clarity or legal compliance might happen without individual notification, so it's worth checking back here occasionally.
